Health-Related Experiences FAQ

  • If I am a first-year (freshman), can I participate in the Health-Related Experiences (HRE) Program?
  • Yes, you can! Some HRE sites will take first-year students. However, many sites, like UC Davis Health, require students to be at least in their second (sophomore) year. For HRE, sophomore status is based on years in college, not units completed (as indicated on OASIS). Students must be at least 18 years old to participate.

  • I am going to be in Davis for one summer session, or I plan to take at least a week of vacation during the summer. Can I still participate in an HRE?
  • No. The summer experiences through HRE span both summer sessions. You must attend your HRE for the entire 10 week summer commitment. You cannot "front-load" or "back-load" your hours in order to fit in a vacation or only participate during one of the two summer sessions.

  • Can I register for multiple experience slots if I am not sure which one I can do?
  • No. The HRE Portal only permits you to register for one slot or waitlist at a time. Please register for a slot only if you are completely certain you can follow through with the requirements and time commitment. Do not register for slots that conflict with your coursework. Make sure you factor in transportation time to and from the HRE site. If the HRE that you want is full, you can register for the waitlist connected to that slot.

  • What does a TBA time slot mean?
  • TBA means "to be arranged," indicating that you will arrange a mutually agreeable block of time with your site supervisor. In most cases, you will attend the HRE at the same time each week. Typically, TBA slots have some day and time restrictions already in place, so please read carefully. After completing Career Center HRE Orientation, you will be instructed on how to contact your supervisor and arrange your weekly HRE hours.

  • If I am unable to meet the HRE Participation Agreements, how long will I be unable to use the HRE Portal? 
  • If your HRE is a 1-quarter commitment, suspension will be the quarter dropped + the additional 2 quarters:

    E.g. Winter quarter (quarter you intend to enroll) + spring quarter + summer quarter → Restart fall quarter

    If your HRE is a 2-quarter commitment and you decide to drop during the first quarter of the commitment, suspension will be 1st quarter dropped +  second quarter of the commitment + the additional 2 quarters:

    E.g. Winter quarter (quarter you intend to enroll) + spring quarter (quarter you intend to enroll) + summer quarter + fall quarter → Restart winter quarter.

  • What if I cannot make the mandatory orientations? 
  • All orientations associated with your specific HRE are MANDATORY. You must participate in all required orientations in order to keep your HRE slot. You may not be late, and you must stay for the entire orientation. Required orientations are listed in your HRE portal.

    Failure to attend mandatory Career Center HRE Orientations will result in being removed from the HRE slot.

    Failure to attend mandatory HRE site Orientations will result in being removed from the HRE slot and suspension from the HRE Portal.

    Alternative training times cannot be offered for site specific orientations. If an orientation conflicts with a class, we can provide you with a letter verifying your mandatory training, but it is up to your professor's discretion to excuse you from class/lecture.   • Do returning HRE participants need to complete the asynchronous and synchronous Career Center HRE Orientation?
  • Yes, students returning to HRE need to complete the asynchronous and synchronous Career Center HRE Orientation, except for students completing the second quarter of a two-quarter commitment. Please review your HRE information page for more information about the requirements of your specific two-quarter commitment.
  • Will I be suspended from the HRE Portal if I register for a slot and do not complete the asynchronous or synchronous Career Center HRE Orientation?
  • No; Students who do not complete the Career Center HRE Orientations are dropped from their HRE slots without penalty/suspension and may attempt to register another HRE in the following quarter. 

    Suspension from the HRE Portal applies to students who do not meet the HRE Participation Agreements, including students who: 
    - Drop their HRE slot after Career Center HRE Orientation
    - Fail to complete onboarding steps on time, including medical clearance and background checks
    - Fail to participate in a mandatory site orientation or in-service training
    - Fail to start or complete the Transcript Notation process
  • Can I change my HRE day/time to another slot or switch my HRE to a different site (after registration is closed)?
  • Students can make changes to their HRE slot during the HRE registration period, which is open for approximately one week. Once registration closes and the Career Center HRE Asynchronous Orientation begins, no changes can be accommodated. Students who have a conflict with their slot time need to either resolve the conflict or drop their slot. As long as the HRE is dropped prior to the end of the Career Center HRE Synchronous Orientation, there is no penalty. Students who drop a slot after Career Center HRE Synchronous Orientation are suspended from the HRE Portal

  • Is transcript notation (TN) required for each quarter I complete an HRE?
  • Yes, all students in a HRE must complete all steps for transcript notation (TN) on Handshake for each quarter they participate. For example, students participating in an HRE with a 2-quarter commitment must complete 2 separate TNs. Learn more about the transcript notation process, which occurs on Handshake via the Submit an Experience feature. 

  • What immunizations, tests, and titers are typically required?
  • Many HRE sites have medical clearance requirements, including immunizations, tests, and titers. Detailed information about required immunizations is available under the HRE details as you browse Experiences in the HRE Portal. If you register for an HRE with immunization requirements, you can schedule an appointment with your medical provider.

    Medical clearance requirements will vary by site but may include: 
    - Tuberculosis (TB) Test
    - Measles Vaccine (MMR)
    - Chicken Pox (Varicella) Vaccine
    - Flu Vaccine (During flu season, usually October - April)
    - COVID-19 Vaccination Series
    - Hepatitis B Series

    Students are responsible for out-of-pockets costs associated with any required immunizations, tests, and titers. Costs may vary depending on your insurance. 
  • What can I do NOW to prepare for an HRE?
  • Allow time in your course schedule for an HRE slot; usually a four-hour block plus travel time added on to both start and end times is necessary. Plan ahead and find the blocks of time in your schedule that would work.

    Gather copies of your immunization records NOW to make your medical clearance process as quick and easy as possible. Copies of your immunization records may be obtained from your healthcare provider, your parents or guardians, and sometimes from your high school. If you need an immunization, you may use your personal healthcare provider. Another option is to utilize the services of the Student Health and Wellness Center (SHWC) by logging in to their Health-e-Messaging system and scheduling a "clearance appointment" for HRE. SHWC does not offer drop-in appointments for immunizations or immunizations record review, so please schedule an appointment online at UC Davis Health-e-Messaging.

    HREs take time out of your daily schedule, so do well academically to ensure that you are prepared to take on an experience. Practice good study habits/time management skills now to prepare yourself to balance school, HRE, and your personal life once you begin your placement.
  • What is my supervisor's contact information?
  • Your supervisor's contact information will appear in the HRE Portal after you have attended the Career Center HRE Orientation. During the orientation, you will receive instructions about when it is appropriate to contact your supervisor directly. After the orientation, you will be able to log in to the HRE Portal and find their contact information on your experience information page.

  •  My HRE site requires a two-quarter commitment. How and when can I register for my second quarter timeslot? What if it does not fit my schedule?

  • During the first quarter of the HRE, you will receive an email with directions on how to register for the second quarter of your two-quarter commitment. Second quarter students will be given a priority pass time for a higher probability that they can fit their HRE into their schedule. If you cannot continue your HRE for the second quarter because it does not fit into your schedule, you will be suspended from using the HRE Portal for two quarters.

    The second quarter must be completed the quarter immediately following the first quarter, and summer participation is mandatory for students starting a two-quarter commitment in spring. 

    E.g. If the first quarter is fall, then then the second quarter is winter, and if the first quarter is spring the second quarter is summer. 

  • Can I register for an HRE if I won't be enrolled as a student or I am graduating next quarter?
  • Students must be an enrolled UC Davis undergraduate student to participate in HRE. Continuing students can participate in a summer HRE even if not enrolled in Summer Sessions. Students cannot participate in HRE once they have graduated.

  • I am an international student, how do I obtain a job/internship offer letter verifying my HRE?
  • All F-1 international students that register for an HRE that is not at UC Davis Health must obtain CPT (Curricular Practical Training) authorization.Visit this website to begin the Curricular Practical Training (CPT) process and review their FAQs: https://siss.ucdavis.edu/curricular-practical-training 

    To request a job/internship verification letter after you register for an HRE, promptly send an email to the Career Center (careercenterhbs@ucdavis.edu) with the following information: First and Last Name, UC Davis student ID #, HRE Site Name, Shift (Hours), Quarter of HRE. The Career Center will draft a PDF letter for you to then provide to SISS.

    Curricular Practical Training (CPT) requests must be approved BEFORE beginning your HRE. Please confirm that the experience you intend to register for meets the requirements of your major.

    If you are an international student studying on a non-F1 visa, you must work with the sponsor of your visa to determine your eligibility to participate in off-campus experiences. HRE slots at UC Davis Health are considered on-campus. Eligibility to participate in HRE cannot be guaranteed.
